Key Responsibilities:
- Warmly greet patients and visitors, providing a positive first impression of our medical office.
- Handle scheduling of appointments and maintain accurate patient records with confidentiality and attention to detail.
- Manage incoming calls, emails, and messages, ensuring prompt and professional communication.
- Verify insurance eligibility and benefits, and support prior authorization and referral workflows.
- Process payments and handle billing inquiries with precision and integrity.
- Support office administration and coordination, ensuring all front office activities run smoothly.
- Advocate for patients and communicate office policies and procedures.
- Protect patient privacy and handle all protected health information in accordance with HIPAA and practice policy.
- Demonstrate initiative by identifying urgent tasks and taking responsibility for timely and efficient execution, ensuring that personal productivity aligns with office goals.
- Proactively recommend improvements to enhance patient experience and operational efficiency, and lead the implementation of these changes.
- Provide administrative cross-coverage for teammates as needed to keep the office running during absences and busy periods.
- Participate in ongoing training and development to stay adept with the latest in healthcare protocols and office technology.
Qualifications:
- High school diploma or equivalent; further certification in medical administration is a plus.
- Experience in customer service or front desk roles, preferably in a healthcare setting.
- Eligible to participate in federal and state healthcare programs — not currently excluded, debarred, suspended, or otherwise ineligible.
- Ability to handle protected health information with strict confidentiality, consistent with HIPAA.
- Ability to communicate clearly and effectively with patients, families, and colleagues in English, both verbally and in writing.
- Excellent interpersonal and communication skills to deliver a delightful patient experience.
- Ability to effectively manage time and prioritize tasks in a fast-paced environment.
- Accuracy and integrity in handling payments, records, and patient information.
- Proficient in using computer systems, cloud-based applications, and office software; experience with an electronic medical record (EMR) system is a plus.
- Complete and verifiable education and employment history.
